CITY OF LAKE OSWEGO PARKS & RECREATION DEPARTMENT SUMMER CONCERTS & JULY 4TH AV PRODUCTION SERVICES Proposals due: April 3, 2023 @ 3:00 pm REQUEST FOR PROPOSAL (RFP) The City of Lake Oswego Parks & Recreation Department is requesting proposals for an independent contractor to provide AV Production Services for City of Lake Oswego Parks & Recreation Summer of Music Contract Series (total of 8 concerts) and one additional concert hosted on the 4th of July for a total of 9 concerts. The requested services are for a proposed contract term of one year and renewable for three (3) additional one (1) year periods. Deadline for Submission of Proposal: Monday, April 3, 2023 at 3:00 PM Submissions received after this time will be considered non-responsive and will be returned without review. Submission of Proposal: — Electronic Delivery – Electronic Delivery: Submit proposal in PDF format to lhofstad@ci.oswego.or.us. Subject line of email must read: Parks and Recreation AV Production Services Proposal 2023. The submitter is urged to submit the electronic proposal at least 2 business hours prior to the deadline for submission. Email is not deemed received until confirmed. If a confirmation of receipt of RFP is not received by the submitter at least 1 business hour prior to the deadline for submission, it is the submitter’s responsibility to contact the Concert Coordinator, Lance Hofstad, at 503-534-5277, to assure receipt of proposal. — Mail Delivery – Submit proposal to City of Lake Oswego, P.O. Box 369, Lake Oswego, OR 97034, ATTN: Lance Hofstad, Concert Coordinator. i. Submission shall be in a sealed envelope bearing the name and address of the proposer and the subject matter: Parks and Recreation AV Production Services 2023. ii. Proposers opting for delivery or mail should allow appropriate delivery or mail time to ensure timely receipt of their Proposals, and assume the risk of late delivery. (Note: Mail is collected by the City from its US Post Office Box on city business days at approximately 8:00 a.m.; any mail not in the mail box at the time of collection is not deemed received until the next business day’s collection.) Proposals must conform to all instructions outlined in the RFP. The City may reject any proposal not in compliance with all prescribed solicitation procedures and requirements and other applicable law and may reject any or all proposals in whole or in part when the cancellation or rejection is in the best interest of the City, and at no cost to the City.
